How information is handled when you use this outreach-verification and contact-preferences site.
1. Who is responsible
Riley Holden is responsible for this site and is the controller of personal information submitted through it. UseHandle.com is a verification utility associated with Riley Holden; it is not a separate company.
2. What this site does
This site publishes a domain-level outreach registry, explains why a recipient may have been contacted, provides independent contact details, and collects contact and preference requests.
3. Sender-domain lookup
The sender-domain lookup is performed in the visitor’s browser. The full email address or domain entered into the lookup is not intentionally sent to Riley, stored by the site, placed in a URL, or used for analytics.
4. Information submitted through forms
Information submitted through the contact or preferences forms may include the fields the visitor chooses to provide. It is used to respond to the request, verify outreach, process contact preferences, or address a reported concern.
5. Why information is used
Information is used only as reasonably needed to answer enquiries, discuss a relevant domain, assess a concern, keep a record of requested contact limits, and maintain the security and operation of the site.
6. Legal bases
Depending on the context, processing may be necessary for Riley’s legitimate interests in responding to business correspondence, keeping accurate outreach and preference records, and protecting the site; to take steps requested before a possible transaction; to perform an agreed transaction; or to comply with a legal obligation. Legitimate interests are considered against the rights and expectations of the person concerned.
7. Hosting, forms and email providers
Website hosting is provided by Netlify, and form processing is provided by Netlify Forms. Business email is provided through Google-hosted infrastructure. These services may process information on Riley’s behalf under their own technical and contractual arrangements.
8. Contact preferences
Preference requests are reviewed and handled manually by Riley Holden. Submitting a request does not guarantee immediate processing. Riley may retain the minimum information needed to respect a request and avoid contacting the same address again by mistake.
9. Security and technical logs
The custom site adds no advertising analytics, behavioural analytics or session-replay software. Hosting and form-processing infrastructure may create security, access, delivery and error logs needed to operate and protect their services. Those logs are not the sender-domain lookup record.
10. International processing
Service providers may process information in countries outside the visitor’s own country. Where applicable, Riley will rely on the provider’s documented safeguards and appropriate legal transfer mechanisms.
11. Retention
Information is kept only for as long as reasonably needed for the relevant request, correspondence, transaction, security purpose, legal obligation, or contact-preference record. The period depends on the nature and status of the matter, whether follow-up is needed, and whether a minimum record remains necessary to respect a preference or resolve a concern.
12. Rights and contact
Depending on applicable law, a person may have rights to ask for access, correction, deletion, restriction, objection, or portability, and may be able to complain to the relevant data-protection authority. Contact riley@rileyholden.com or write to the correspondence address shown on this page.
13. Changes to this notice
